This notice explains what happens to information you send us through this website. It is written plainly rather than in legal language, and it describes what the site actually does.

What the enquiry form collects
When you submit the quote form we collect the details you type into it: company name, contact name, business email address, country, destination port, product, quantity, Incoterms preference, target shipment month, and anything you write in the message field.
The form software also records, automatically, the IP address the submission came from, the browser and device used, the page the form was submitted from, and the date and time. This is standard for web forms and is used to identify spam submissions.
What we do with it
We use it to answer your enquiry and to quote for the business you have asked about. That is the only purpose. Specifically:
- The submission is stored in this website’s database on our hosting account.
- A copy is emailed to us so we see the enquiry promptly.
- If a quotation or an order follows, the commercial details become part of our ordinary business records.
We do not sell, rent or share your details with third parties for their own marketing. We do not add you to a mailing list from a quote enquiry. If we later want to send you anything beyond a reply to your own enquiry, we will ask first.
Who can see it
- Our staff, to answer you.
- Our web host, which stores the site and its database, and our email provider, which carries the notification message. Both hold the data on our behalf and are not permitted to use it for anything else.
- Authorities, where we are legally required to disclose information.
Tracking and cookies
This site runs no advertising trackers, no analytics pixels and no social media tracking. There is no Google Analytics, no Meta pixel and no similar tool on these pages.
The website software itself may set functional cookies — for example to make the page cache work correctly, or to keep you logged in if you have an account here. These are necessary for the site to function and are not used to profile you or follow you to other websites.
How long we keep it
Enquiries that do not lead to business are kept while they may still be useful for follow-up, and removed when they are not. Records connected to an actual shipment are kept as long as required for tax, customs and export documentation purposes, which in practice means several years.
Asking us to show or delete what we hold
Write to info@ubaidimperial.com and ask. We will tell you what we hold about you and, where we are not required to keep it for tax or export-documentation reasons, delete it on request. Say clearly what you are asking for and we will answer within a reasonable time.
If you are in a jurisdiction that gives you specific data protection rights — for example the UK, the European Union, or a US state with its own privacy statute — those rights apply to your dealings with us, and the address above is where to exercise them.
Security
The site is served over an encrypted connection and access to the administration area is restricted. No website can promise perfect security, but we do not collect payment card details, identity documents or anything else through this site that would be attractive to steal.
